Vendor-neutral operator worksheet

A missed call is not complete until the next step has an owner.

Audit one unanswered leasing call across seven workflow stages, five human decision gates, and five measurable outcomes. Use this with your current phone, messaging, scheduling, and CRM tools.

No email gate. No product purchase required. This is a process audit, not a legal opinion or performance guarantee.

Part 1

Trace the seven-stage handoff

Choose one real, recent call. Mark a stage complete only when you can point to evidence in the real system.

Measurement sits outside these seven stages. It evaluates whether the stages created a usable, owned outcome; it is not an eighth workflow stage.

Part 2

Name the five human decision gates

When a gate applies, automation should transfer the reason, relevant context, named owner, and takeover timestamp.

  • Fair-housing or accommodation questions
  • Pricing, screening, lease, or legal interpretation
  • Emergency, habitability, or safety concerns
  • Complaints, payment disputes, or interpersonal conflict
  • Approval, low-confidence answer, or an action the connected system cannot verify

Part 3

Measure completed handoffs, not messages sent

Agree on the numerator, denominator, and source system before a pilot begins. Compare the pilot with a baseline using the same definitions.

Five workflow measurement definitions
MetricFormulaPrimary source
Provider acceptance timeFormulaMedian provider-accepted timestamp minus eligible-event timestampPrimary sourcePhone event log + messaging receipt
Qualification completionFormulaReplied conversations with every required next-step field ÷ replied eligible conversationsPrimary sourceWorkflow + structured CRM fields
Booked or assigned next stepFormulaQualified conversations ending in a supported booking or named task ÷ qualified conversationsPrimary sourceCalendar or task queue + CRM
CRM completenessFormulaAudited records with source, timestamps, summary, owner, next action, and stop state ÷ audited recordsPrimary sourceCRM query or sampled review
Unresolved exception rateFormulaEscalations without an owner or resolution inside the target window ÷ all escalationsPrimary sourceEscalation queue + CRM history

Review

Close the audit with six questions

  1. Which stage caused the longest delay?
  2. Where could automation make a promise it cannot verify?
  3. Which exception lacks a named owner?
  4. Does the CRM show an outcome or only a transcript?
  5. What event stops automation when staff take over?
  6. Which metric can current timestamps and fields support reliably?

This worksheet is an operations framework, not legal advice. Consent, fair-housing, accommodation, emergency, privacy, retention, carrier, and other obligations vary by facts and jurisdiction. Have qualified counsel and your providers review the rules that apply to a specific workflow.
