Start with off-the-shelf software when

  • Native integrations cover the systems that own the record.
  • Your team can adopt the product’s standard process.
  • Faster onboarding matters more than distinctive workflow control.

Consider custom automation when

  • The workflow crosses phone, SMS, email, PMS, CRM, calendar, and internal task systems.
  • Your rules, approvals, stop conditions, or reporting requirements are materially different.
  • The process creates enough value to justify an owned maintenance plan.
  • You need a narrow layer around existing systems rather than a replacement platform.

A five-question decision test

  1. Does a current product support the exact trigger and desired outcome?
  2. Can it write the required fields to the real system of record?
  3. Can the team configure every sensitive exception and stop rule?
  4. Who owns monitoring, incident response, and provider changes?
  5. Is the workflow valuable enough to justify custom lifecycle costs?
