Start with off-the-shelf software when

- Native integrations cover the systems that own the record.
- Your team can adopt the product’s standard process.
- Faster onboarding matters more than distinctive workflow control.
Consider custom automation when
- The workflow crosses phone, SMS, email, PMS, CRM, calendar, and internal task systems.
- Your rules, approvals, stop conditions, or reporting requirements are materially different.
- The process creates enough value to justify an owned maintenance plan.
- You need a narrow layer around existing systems rather than a replacement platform.
A five-question decision test
- Does a current product support the exact trigger and desired outcome?
- Can it write the required fields to the real system of record?
- Can the team configure every sensitive exception and stop rule?
- Who owns monitoring, incident response, and provider changes?
- Is the workflow valuable enough to justify custom lifecycle costs?
